We are currently recruiting for experienced Personal Assistant to work on a full-time, long-term contract in Eastleigh, Hampshire.

The role will be based with a UK Police Force, and so applicants must undergo national security checks.
The role is primarily office based and hours of work are Monday to Friday.
However, the client is willing to offer some flexibility around hybrid working..
The rate of pay will be £16.71p per hour.
Role overview:
To provide a range of secretarial and administrative services to the Chief Officer.
Main Responsibilities
1. To carry out a range of typing and word-processing tasks to include working from shorthand, copy and audio typing. The documents to be produced may include any of the following: – letters – statements – short or lengthy reports – operation orders confidential documents – word-processor generated charts and graphics.
2. To use, maintain and update a variety of indices and record-keeping systems.
3. Deal with all correspondence to the Chief Officer, using the postholder’s judgement as to which items may be dealt with personally and which need to be referred to the Chief Officer or other staff member. Where correspondence is dealt with directly by the postholder, (s)he should use initiative to research the appropriate files and produce a response which is accurate, articulate and prompt.
4. To take minutes at meetings, as required, producing a final typed transcript which is articulate and accurate.
5. To organise conferences, as required, dealing with all related administrative tasks.
6. To accompany the Chief Officer in the capacity of Personal Assistant on work assignments at locations other than Headquarters office.
7. Maintain the diary appointment system and organise all related travel arrangements.
8. Perform a range of clerical tasks as required by the post.
9. At the instigation of the Chief Officer, produce well researched, accurate reports on appropriate issues (commendations, budgets etc).
10. Deal with enquiries from senior officers from other Forces, or internally, ACPO/Superintendents, Directors, etc, responding wherever possible on the postholder’s own initiative and only referring complex issues to the Chief Officer. Initiate appropriate action in line with current policy and procedures, displaying appropriate diplomatic skills and appropriate follow through action.
11. Ensure that all correspondence of a highly confidential and/or restricted nature is dealt with sensitively and expeditiously.
12. Undertake appropriate administrative work from Chief Officer involvement with external working parties and/or organisations.
Essential Experience:
A minimum of 3 years secretarial or administrative experience in a responsible position calling for use of complex record keeping systems.
Experience of working with Senior Managers.
Extensive experience of typing/word processing/Microsoft Office applications and proficient in document layout.
Educated to QCF Level 2, 5 passes including English OR work experience deemed to have brought the postholder to a comparable level.
